Terms and Conditions

Fees

Each delegate ticket includes one delegate place at the conference, refreshments, lunch (offered on all three days) and any relevant documentation.  No delegate will be able to gain admittance to the conference unless payment of the fee has been received and they have been issued the appropriate security badge.

Earlier registration is encouraged.

The registration window will close on March 1, 2020 to allow for final preparations.

Non-paying delegates are those delegates who are nominated by sponsors, are invited speakers, media persons or other persons identified by the organizers at their sole discretion.

Cancellations

The Conference App opens 14 days prior to the event. Cancellations requested prior to February 25, 2020 will be subject to a cancellation fee of 50% of the applicable registration fee.  Cancellations received after February 25, 2020 will attract a cancellation fee of 100%.

Visas and Travel

It is the sole responsibility of delegates to ensure that they understand any visa requirements for entering the United States. Failure to be granted a visa does not constitute a valid reason for cancelling a delegate ticket without the normal cancellation fees being applied.

Delegates are responsible for their own travel and accommodation arrangements and costs.

Some funding is available to support travel and accommodation for selected guest from Cameroon. If interested in being considered, complete the registration form

Suitcasing

Suitcasing is the practice of actively soliciting attendees of an event for business onsite without being a sponsor or exhibitor, for instance by handing out flyers in hallways or leaving printed material on tables. For the benefit of delegates and the sponsors supporting the conference, the only legitimate space to undertake soliciting for business is within an exhibition space. Attendees observed undertaking suitcasing will be removed from the event with no recourse.

Data Scraping

A comprehensive Meeting app is provided for the use of Delegates. This allows delegates to communicate with each other during the event. It is prohibited to data scrape from the app. Data scraping is a technique in which a computer programme extracts data from human-readable output coming from another programme.

Event Content

In certain circumstances it may be necessary for the Organizers in their sole discretion to alter the content, venue, themes, programme, speakers, moderators or timing of an event. You acknowledge and agree that they reserve the right to change any and all aspects of the event at any time including the programme, venue and time.

Image Capture

By registering as a delegate, attendees acknowledge and consent to their name, job title, company name and photograph, film or recording being published on The Conference and Coalition websites and related material in perpetuity as well as on the Meeting app without further approval or compensation. Personal data supplied is subject to relevant data protection legislation and other applicable data protection laws. The information supplied by delegates may not be used for direct marketing purposes.

Speakers

Views expressed by speakers are their own. The Coalition cannot accept liability for views expressed, by any speaker at the conference or in any material provided to delegates.

Insurance

It is the responsibility of the delegate to arrange appropriate insurance cover in connection with their attendance at the conference. The Coalition and The Conference cannot be held liable for any loss, liability or damage to personal property or health.

Force Majeure

If the conference is cancelled for any reason, except in the case of a force majeure (including but not limited to any act of terrorism, war, riot, civil commotion, compliance with any law or governmental order, fire, flood, inaccessibility to venue, storm or adverse weather strikes, lock-outs or other industrial disputes, delay in transit, power failure, postal delay), a full refund will be made.

Allergies

Delegates are responsible for ensuring that any food or drink consumed at the venue complies with any personal dietary restriction, food intolerance or food allergy that they may have. Any food provided for delegates is prepared by designated caterer, and not by the Coalition. In the event of any uncertainty delegates must request further information from the caterer as to ingredients or other dietary concerns.

Others

You agree not to sell, trade or share your code or badge without prior approval from the organizers.

The Coalition shall not be liable to you for any direct, indirect or consequential losses or damages (including but not limited to loss of profits) whether arising in connection with this agreement, even if you have been advised of the possibility of such loss or damage.
